Questions about this stage

We already use spreadsheets, is that a problem?

No, that is the normal starting point. Most Scale-stage projects replace a spreadsheet-and-phone-calls process, and the spreadsheet itself is useful evidence of what the system needs to do.

Can a custom system connect to tools we already use?

Often, yes, where the other tool has a way to connect to it. We say plainly during scoping if something cannot be integrated, rather than promising it and finding out later.

What if our process changes after the system is built?

Systems get adjusted as a business changes; that is normal maintenance, not a failure of the original build. We can maintain it ongoing or hand it over with documentation.
